PSAA-Central Indiana Chapter - Minutes 2/4/2009

A meeting of the Penn State Alumni Association Central Indiana Chapter was held at Champps in Indianapolis, IN on Wednesday, February 4, 2009 at 7:00 PM with 10 members present.

   ·The meeting was called to order by Ed McCauley at 7:05 PM

Treasurer's Report – Kelly Hampton
   ·As of the August 10, 2008 meeting, we had a balance of $3,308.55 in the General Fund. We received $1,060.00 in dues, $710.00 in tailgate fees, $3,404 for football tickets and $250.00 from the Scholarship Fund to cover the golf deposit. Expenses were $298.38 for the annual picnic, $672.99 for postage, printing, envelopes & labels for the annual mailing, $1395.00 for football tickets, and $1,194.41 for our tailgate expenses. The February 4, 2009 ending balance is $5,171.77
   ·The Scholarship Fund beginning balance was $9,172.15. We received $25,124.11 and our expenses were $12,736.74. The golf fundraiser expenses were $11,736.74 and $1000 was awarded to Ashley Bolen, our scholarship recipient. The ending balance as of February 4, 2009 is $21,559.52.
   ·There was no further discussion on the financial report and a motion was made to accept and it passed unanimously.

Membership
   ·Kelly Hampton shared that we currently have 81 members for the 2009-2010 membership year, which is up from 43 last year. When we receive updates for alums that have recently moved into the area, we will continue to contact them.

Big Ten Tournaments
   ·We discussed having receptions again this year for the Men and Women’s Basketball Teams. Rick Sokolov volunteered to sponsor the Women’s Reception and United Hospital Services will sponsor the Men’s Reception. Kelly Hampton will coordinate the details with the hotels once Penn State confirms the teams’ attendance. We will offer light hor d’œuvres and a cash bar at each event. We will also have a contribution box set up to raise funds for the Gail Paluka Scholarship Fund. Raffles will be held at each event, with at least a signed basketball from the team being raffled off with proceeds going to our Scholarship Fund.

Football Tickets
   ·We decided to request 40 tickets for the Illinois game, with 40 tickets for the Northwest game being our second choice. Discussion concerning a tailgate and bus trip was tabled until a future meeting.

Fundraisers
   ·Ed McCauley will check with Penn State to obtain signed Basketballs to be raffled off at our Big Ten Tournament mixers.
   ·We will hold a low key golf tournament again this year in a scramble format. The date is to be determined by the committee of Chuck Meek, Howard Young, Paul Romig, Craig Thomas and Kelly Hampton. The committee would also like to have Brian Bachman’s help again. Should a Saturday morning date be chosen, it would need to end before a 3:30 game.

   ·We decided to have Erik Brandt set up a PayPal account on the website to allow members to pay dues and other expenses online.

Phone-a-Thon
   ·Ed McCauley was told that Donna Treylinek had only received a few names to contact this year.

College Fairs
   ·Pam Clements let Ed McCauley know that we attended several fall fairs. Kelly Hampton added that we would be promoting Penn State at a least one college fair this spring.

Dance Marathon
   ·The chapter decided to send a $50 donation from our chapter to the Dance Marathon to be held in February.

Elections
   ·Due to the limited number of members present, it was decided to allow current officers, President Ed McCauley and Treasurer Kelly Hampton to retain their positions until the Annual Picnic. A motion was passed and unanimously accepted.

Annual Picnic
   ·Several ideas were tossed around, which included an Indianapolis Indians game, a picnic at someone’s home, or an event at a park with things for children. It was decided to send out an e-mail to others for ideas before a final decision was made at our next chapter meeting.

Next Meeting
   ·Our next chapter meeting will be set for May. Ed McCauley will schedule the meeting and notify the members.

The meeting adjourned at 8:40 PM.
