PSAA-Central Indiana Chapter - Minutes 8/10/2008
A meeting of the Penn State Alumni Association Central Indiana Chapter was held at the home of Dick and Faye Snodgress in Zionsville, IN on Sunday, August 10, 2008 at 2:00 PM.
·The meeting was called to order by Ed McCauley at 2:18 PM.
Treasurer's Report – Kelly Hampton
·As of the March 17, 2008 meeting, we had a balance of $4,960.99 in the General Fund. We received $40.00 in dues and had paid $250.00 for the golf outing for a Fiscal Year June 30 ending balance of $4,750.99.
·The March 17, 2008 Scholarship starting balance was $4,977.15 and we had no receipts or expenses for a Fiscal Year June 30 ending balance of $4,977.15.
·The 2008 Fiscal Year had a beginning balance of $4,750.99 in the General Fund. We received dues of $470.00 and the Fiscal Year 2007 Mailing Allocation from the Alumni Association for $416.46. Expenses were $26.90 for a Welcome letter sent to new alumni in the area and Scholarship Information sent to 14 students. We also purchase 40 Penn State/Purdue football tickets for $1841.00 and 10 Penn State/Wisconsin football tickets for $461.00. The ending balance as of August 10, 2008 was $3,308.55.
·The 2008 Fiscal Year had a beginning balance of $4,977.15 in the Scholarship Fund. Receipts included Golf Scholarship of $3,500.00, Golf Donations of $300.00, Golfer Fees of $130.00 and Member Donations of $265.00 for an Ending Balance of $9,172.15 as of August 10, 2008.
·There was no further discussion on the financial report and a motion was made to accept and it passed unanimously.
Checking Account
·Chase bank is to begin assessing monthly fees on checking accounts. After much discussion, it was suggested that a Money Market Account be researched.
Internal Audit
·It was suggested that an internal audit be performed to protect Treasurer, Kelly Hampton. Phyllis Meek volunteered for the job.
Membership
·Donna Treylinek shared that she had contacted via letter the Penn State alumni that had recently moved into the area. In addition, she contacted the 14 local students attending Penn State regarding our scholarship.
·In an order to reach the 500 plus alumni in the central Indiana area, Donna and Kelly volunteered to get a mailing out concerning our chapter and our Golf Outing, plus include the membership form.
Charity Event
·Each year our chapter helps a local charity. It was decided that we would go to Gleaners on Saturday, October 18, 2008 from 8 AM to 11 AM to aid them. Tim Meta agreed to be the contact person.
Web Page
·Erik Brandt added a new banner on our chapter website. and also added a Golf Banner concerning our October 3, 2008 Golf Outing. It was requested that addresses be included for scholarship information and membership.
Chapter Golf Tournament – October 3, 2008
·Brian Bachman gave an update on the details of the golf tournament including the timeline for all of the various deadlines. He also stated the Purdue would invoice us after the event for our expenses. Insurance for a hole in one was discussed. Beverage carts will be available across the course. Dinner after the golf outing will be a hog roast. Programs, Event Details, Rule Sheets, and finding Volunteers for Greeters are still items that need to be finalized.
·Sponsors were discussed and it appears that at least 8 hole sponsors and 6 cart sponsors have been located. Additional sponsors are needed, potentially from the West Lafayette area.
·It was also discussed whether it would be helpful to hang a banner near the road welcoming participants to the Golf Outing.
Football Tickets – Purdue & Wisconsin Games
·The Chapter has purchased 40 Purdue tickets and 10 Wisconsin tickets. It was decided that the tickets would be sold to members (with current dues paid). First priority would be given to those attending the meeting.
Elections
·It was suggested that due to the upcoming Golf Tournament that current officers, President Ed McCauley and Treasurer Kelly Hampton retain their offices until the January meeting. A motion was passed and unanimously accepted.
The meeting adjourned at 3:23 PM and a picnic followed.
